Privacy Policy

1. Who we are
Velocity Point LLC operates OurBeeClub, a website and operations platform for beekeeping clubs.
This Privacy Policy explains how we collect, use, disclose, retain, and protect information when
you visit a public OurBeeClub site, join or administer a club site, buy through an OurBeeClub
checkout flow, or contact us for support.
2. Information we collect
- Account and profile information: names, emails, phone numbers, login identifiers, roles, club membership status, and profile details users choose to provide.
- Club and tenant information: club name, contact details, location, meeting information, branding, documents, events, member rosters, applications, dues settings, and administrative configuration.
- Content and transactions: forum posts, marketplace listings, store products, orders, event tickets, dues payments, refund records, dispute records, documents, photos, and related audit logs.
- Swarm and notification data: reporter contact details, approximate swarm location, collector preferences, claim status, email/SMS delivery status, and safety notes submitted by users.
- Payment data: Stripe customer, subscription, checkout, connected-account, invoice, payment, refund, and dispute identifiers. Full card numbers are processed by Stripe and are not stored by us.
- Support and outreach data: messages, requests, unsubscribe status, lead-capture forms, and operational notes needed to support clubs or follow up with prospects.
- Technical data: IP address, user agent, device/browser details, pages visited, timestamps, diagnostics, security events, cookies, and application logs.
3. How we use information
- Provide, secure, troubleshoot, and improve OurBeeClub.
- Authenticate users and enforce tenant isolation, roles, and plan limits.
- Process payments, refunds, disputes, invoices, payouts, and Stripe Connect onboarding.
- Send transactional emails and SMS messages such as password resets, receipts, member approvals, swarm alerts, event tickets, dues notices, and support responses.
- Operate discovery, provisioning, outreach, support, analytics, abuse-prevention, and compliance workflows.
- Respond to legal requests, enforce our Terms, and protect the rights and safety of Velocity Point, clubs, members, and the public.
We do not sell personal information. We do not use tenant member data for third-party advertising.
4. Service providers
We use service providers to operate OurBeeClub. They receive only the information needed for their role.
- Microsoft Azure: hosting, SQL Database, Blob Storage, Key Vault, Application Insights, and related infrastructure.
- Stripe: payment processing, billing, Connect accounts, refunds, disputes, and tax/billing records.
- Azure Communication Services: SMS delivery for supported workflows.
- Zoho Mail or configured email providers: outbound transactional and support email.
- GoHighLevel and similar support/outreach tools: lead, support, service-request, and outreach workflows where configured.
- Mapping/search/geocoding providers: location lookup, source discovery, and operational enrichment where features require it.
5. Cookies and similar technologies
We use cookies needed for sign-in sessions, anti-forgery protection, preferences, and security.
We do not place third-party advertising cookies on club sites. Browser settings may let you block
some cookies, but doing so can break login or form submission.
6. Sharing and disclosure
We may disclose information:
- To service providers acting on our behalf.
- To club administrators for their own tenant, consistent with the role and feature they are using.
- To Stripe connected accounts and buyers/sellers as needed for club commerce, dues, tickets, refunds, and disputes.
- When required by law, subpoena, court order, or government request.
- To investigate abuse, security incidents, fraud, payment disputes, or threats to safety.
- As part of a merger, acquisition, financing, or sale of assets, subject to appropriate notice where required.
- With your consent or direction.
7. Retention
We keep information as long as needed to provide the service, meet legal and tax obligations,
resolve disputes, enforce agreements, prevent abuse, and maintain backups. Active tenant data is
generally retained while the tenant is active. Exportable tenant data may remain available for a
limited period after termination. Billing, audit, tax, security, fraud-prevention, and dispute
records may be retained longer.
8. Security
We use technical and organizational safeguards including HTTPS, encrypted storage where supported
by the platform, role-based access controls, tenant isolation, secret management, audit logs, and
monitoring. No system is perfectly secure. You are responsible for using strong passwords,
protecting administrator accounts, and limiting access to authorized people.
9. Your choices and rights
Depending on your location, you may have rights to access, correct, export, delete, restrict, or
object to certain processing of your personal information. Club members should usually start with
their club administrator because the club controls many tenant records. You may also contact us at
support@ourbee.club with "Privacy Request" in the subject.
Marketing emails include unsubscribe controls where applicable. Transactional messages needed to
provide the service, such as receipts, password resets, security notices, and membership workflow
messages, may still be sent.
10. California and other state privacy notices
We do not sell personal information or share it for cross-context behavioral advertising. California
and other state residents may have additional rights to know, access, correct, delete, or opt out of
certain uses of personal information. Submit requests to
support@ourbee.club.
11. Children
OurBeeClub is not directed to children under 13. Clubs may operate family-friendly activities, but
administrators should not submit children's personal information unless they have a lawful basis and
any required parent or guardian consent.
12. International users
OurBeeClub is operated from the United States. If you use the service from outside the United States,
your information may be processed in the United States and other locations where our providers operate.
13. Changes to this policy
We may update this Privacy Policy as the service changes. Material updates will be posted on this
page and, where appropriate, sent to account contacts.
